The Arizona Technology Council is looking for a reliable and detail-oriented Director of Finance + Administration to manage the Council's financial and administrative functions. 

Title: Director, Finance + Administration

Reports to: President + CEO


About the Council:The Arizona Technology Council is a private, non-profit trade association founded to connect, represent and support the state’s expanding technology industry. The focus of the Council is to unite Arizona’s technology sectors to enhance the state’s profile as a center for technological innovation.

Purpose of the Position: The purpose of this position is to manage the financial and administrative functions of the Council.

Financial Responsibilities:

  • Process bank and credit card transactions and reconciliations
  • Prepare, pay and reconcile Accounts Payable
  • Prepare and reconcile Accounts Receivable
  • Manage membership and sponsorship reconciliation using QuickBooks, and MemberZone
  • Manage the membership renewal process, including preparation and distribution of membership renewal invoices
  • Manage membership sales quotas for membership sales staff.  Track and report collections by sales person.
  • Prepare monthly Financial Statements
    • Prepare and review Balance Sheet
    • Reconcile all Balance Sheet accounts monthly
    • Prepare and review Budget vs. Actual P&L
    • Write a commentary pointing highlights of and anomalies to expected outcomes
    • Prepare and review Accounts Receivable and Accounts Payable
    • Prepare and reconcile financial spreadsheet for Treasurer’s review
      • BS, P&L, Cash Flow Analysis, A/R, A/P, Pending Sales and other reports as requested
  • Maintain financial records for the company
    • Payables, general ledger, cash receipt copies, financial statements and budgets
    • Permanent file type items
      • Payroll tax reports
      • Annual forms 990 and form 99
  • Maintain payroll records, process payroll and review/file forms necessary for compliance with federal, state and local laws
    • Process commissions
    • Process Slavic 401(k) payments
  • Prepare an annual operating budget with the assistance of members of the various departments within AZTC
  • Process Accounts Payable checks and mail as needed
  • Process credit card transactions as needed
  • Process checks received for deposit
  • Prepare weekly financial reports for President/CEO and staff
  • Reconcile revenue and expenses for events
  • Serve as liaison to CPA firm
    • Assist in preparing year-end tax reports
    • Assist in financial reviews
  • Manage all deposits to the Arizona Technology Council State PAC account
  • Manage all checks written from the Arizona Technology Council State PAC account
  • Keep reporting on the AZTC State PAC account up to date at all times
  • File periodic reports with Arizona Secretary of State detailing PAC activity

Administrative Responsibilities:

  • Maintain all office files and records including Council archives and permanent records
  • Oversee office space lease contract; serve as liaison to the landlord on all rental issues
  • Maintain vacation & sick time tracking
  • Field email inquires; route to appropriate staff
  • Inventory and purchase office supplies and equipment
  • Pick-up and distribute mail daily; process mailings for staff
  • Assist with onsite registration at events as needed; manage unpaid and walk-in guests
  • File periodic Campaign Finance Reports related to the Arizona Technology Council State PAC account as required by the Secretary of State of Arizona
  • Maintain records regarding the participation of each member of the Board of Director as compared to their “expectations” document.
